Overview

Your Parish Online account can be used to store your digital asset register. This register is required by insurance companies to ensure you have the correct cover and items are valued at the right amount.


Using Parish Online to plot your digital asset register on a map gives you an interactive and informative view of your assets and liabilities.


This article guides you through adding your assets onto the map and maintaining them as a live record.


Prerequisites

To get started with this you will need:

  • A valid login to your Parish Online account
  • Your account to be enabled with the asset register layers (contact support if you're not sure)


Understanding the Concept

Using Parish Online, your digital asset register will consist of points, lines and polygons stored within a set of pre-defined map layers. Each point, line or polygon (map features) will represent one of your assets. You will place these features in the geographic location where they are located.


Each map feature can store;

  • its location on the map
  • information about it (such as replacement value, last inspected date etc), and,
  • attachments (such as PDF documents, and photos).


For example, your digital asset register may have a number of point features stored within a Map Layer called Benches. It may look something like this;




Time Needed

This need not be a daunting task. You will find that once you've added a few assets onto the map it becomes second nature and very quick to do.


You don't have to spend hours and hours doing this. It can be something you build up over time, making corrections and additions to gradually improve the register.


Once you're happy with what you've entered, you'll find it becomes a resource that you can refer to when you need it. You will have put the effort into creating it, and then it starts working for you, saving critical administration time.



Method

Creating a new Asset Feature

To add an asset onto the map:

  1. Log into Parish Online
  2. Zoom into the area on the map where you want to add your first asset feature.
  3. Click CREATE then ADD FEATURE
  4. On the left-hand panel, use the drop-down to choose the most appropriate layer to store your asset. For example, for a bench, choose Outdoor Property / Street Furniture. For help choosing a layer, see the Layers and Categories section below.
  5. Click on the map to set the location of your asset:
    1. For points, do a single left-click on the map
    2. For lines, do a series of single left-clicks on the map then at the end of your line, double-click
    3. For polygons, do a series of single left-clicks on the map then do a single left-click on your starting point to complete the polygon.
  6. Enter information into the fields in the left-hand panel.
  7. Click SAVE


Editing an Asset Feature

To edit an asset:

  1. Click on the feature on the map
  2. Select it from the left-hand panel
  3. Click on the Edit (pencil) icon
  4. Edit the shape/location if required by dragging the point, line or area into its new position
  5. Edit the attribute contents as required.
  6. Click SAVE



Adding attachments to an Asset Feature

To add an attachment to an asset:

  1. Click on the feature on the map
  2. Select it from the left-hand panel
  3. Scroll to the bottom of the panel and expand the Attachments section
  4. Click the Add Attachments button then choose a document from your computer
  5. Close the attachment window
